Mail writing tips and Instructions

How to write mail for Candidates, Conference Team, Rollos, and Palanca!

UPDATE FOR 2027: All mail  should fit in a 5 x 7 envelope or smaller. (candidates, palanca, and conference team)

Gifts for candidates should be limited to the coffee mug/water cup that they are given by their sponsor.

Thank you for helping all of our candidates feel loved and seen.

You can write mail to candidates, conference team, all palanca, and before rollo mail.
MIDDLE: All mail needs to include first & last name, a label of “Candidate”, “Conference Team”, “Palanca”, or “Rollo”
LOWER LEFT: Day 1, Day 2 or Day 3
(delivered on Friday, Saturday, and Sunday)
LOWER RIGHT: Label who you are in relation to the mail receiver – eg. Husband, Sponsor, Friend, or this corner can be left blank.  Candidate mail will be sorted to place husband and sponsor mail on top!

What you can write about each day for Candidates:

Day 1 Mail: They have experienced Silent Retreat and De Colores

Day 2 Mail: They have experienced Stations of the Cross, Cardboard Testimonies, and Binding.

Day 3 Mail: They have experienced Banquet and Arise (morning wake-up by Palanca singing.)
Please, do NOT write about Closing.

Writing all of the Candidates or a large group of Palanca, etc? Please, alphabetize by last name for easy mailroom sorting.

To save you time at mail drop-off have your mail sorted by Day 1, Day 2, Day 3 and bundled in the following categories by either rubber band or in a bag:

  • Candidate
  • Husband Mail – Placed in a dedicated Husband Mail tote
  • Palanca (Team, General, Palanca Spiritual Directors, etc.)
  • Conference Team (Back Table, Table Leads/Assists, Tech, Upstairs Music, Conference Spiritual Directors)

Each Day and category will have it’s own dedicated drop-off tub.

Rollo mail does NOT need to be labeled Day 1 etc. Just their name and Rollo. This mail has it’s own dedicated drop-off tub.
